Danielle Software is a web service that covers all activities involved in human resources. We provide technical infrastructures and software solutions.

Our business policy specifically does not involve trading information, passing on or selling information to third parties or using it in any other way.

Since all the connections to and from our systems are encoded by default in accordance with state-of-the-art technology, data transfer is protected from being accessed by third parties. Moreover, we attach the utmost importance to safe data storage so we ensure that all our servers are protected by firewalls, virus scanners etc. and that the latest security updates are always implemented.

The privacy policy covers the collection, use and disclosure of personal information that the software could collect whenever you interact with the company or its partners, for example when you visit the website, purchase products or services from us or contact our sales and support staff.

Responsible party

At any time, our customers’ HR departments can edit, correct or delete any data that were stored, uploaded and collected by us, apart from the survey answers. We only work in accordance with our customers’ orders and instructions.

As our customer, you will remain the responsible party for your personal data within the scope of the data protection laws.

Our principles

We take the protection of your personal data very seriously and comply with the valid data protection laws, in particular with the provisions of the EU General Data Protection Regulation (GDPR). Our approach can be summarised in one single sentence: Personal information is only processed if the person concerned has consented, if this information is necessary for the fulfilment of a contract or if the GDPR or another law permits or prescribes the processing of this information. We will never disclose your data to third parties without your prior consent. Moreover, we have defined the following principles:

  • We will continue to invest in high quality security measures and do everything in our power to protect users’ personal data.
  • We will not pass on users’ personal data (including e-mail addresses) to third parties unless you have given your prior consent.
  • We ensure at all times that contractors with whom we cooperate in relation to the website and other services (for example hosting providers) are subject to strict contractual obligations. They may only process data on our behalf and in accordance with our policies and guidelines and may not use it for any other independent purposes.

Data processing on websites

In principle, personal data are collected to the extent that is technically necessary. Under no circumstances will the data collected be passed on to third parties without the consent of the parties concerned. The following declarations will present an overview of how Danielle Software will guarantee this protection and what kind of data is collected, processed or used on the websites and for what purpose.

Logging

Danielle Software automatically collects and stores in its server log files some of the information usually transmitted by the browser, provided that your browser provides this. This information cannot be associated with specific individuals. Neither will this information be combined with other data sources.

Log files

General information is captured automatically when the application is accessed. These data include for example:

  • Time of access (date and time)
  • Your web browser
  • Your operating system
  • The survey accessed
  • If appropriate, your website from where the survey was accessed (referrer URL)
  • Your IP address

In this case, these are data that do not reveal any personal information about yourself. This is necessary from a technical perspective and is inevitable when the internet is used.

This information is absolutely essential for:

  • Operation,
  • Maintenance,
  • Protection and
  • Monitoring of the proper operation of the system

The logs have to be used for other cases:

  • Cases of abuse: To create reproduction scenarios and if appropriate, to allow us to provide evidence
  • Errors: To allow the fastest possible system update

We will use these data only if it is absolutely necessary and only for protection and maintenance purposes and to ensure the proper operation of the system.

Web analytics

On our websites, data are collected and stored in anonymous form exclusively for optimisation purposes using web controlling technologies. Danielle Software uses Google Analytics and Microsoft Clarity. These data are used to create user profiles under a pseudonym on the basis of Art. 6 para. 1 f of the GDPR.

Cookies may also be used for this purpose, but they collect and store data exclusively in a pseudonymous form. The data will not be used to personally identify visitors to these websites and will not be combined with data about the bearer of the pseudonym.

You have the option of configuring your browser so that you are informed as soon as cookies are to be placed in order to reject them if necessary. Furthermore, you can prevent cookies from being installed by setting your web browser accordingly. As a result, it may not be possible to use all the functions of these websites in full. No personal data are stored. A user’s IP address is made unidentifiable and does not allow any conclusions to be drawn about the visitors to this website.

Chatbot

Danielle Software offers two chatbots that can answer all routine questions from employees automatically around the clock. These are the chatbots “Danielle Talk” (live environment) and “Danielle Talk Demo” (demo environment).

For authenticated users (live environment), person-specific questions are stored in a chat history, such as vacation requests or queries about personal data. This makes it possible to track when requests were made at any time. In addition, the personal identifier, such as Google ID, is stored in a database so that the user can be identified again during the next chat with the chatbot.

No personal information is stored about users who are not logged in.

All server and HTTP logs are only stored temporarily for a short period of time. No information is passed on to third parties or shared in any other way.

Processing of personal data

In order to send you the information provided on the websites and requested by you, publications or newsletters ordered, we will ask for the following information via a registration form:

  • The name of your company,
  • Your title,
  • Your name,
  • Your address and
  • Your e-mail address.

These data are stored and used on the basis of Art. 6 Para. 1 b of the GDPR exclusively for dispatch purposes. No information will be passed on to third parties. By entering your data (see above) in the form you give us your consent to the storage of the data and its use for sending the information, publications and newsletter requested. The personal information provided by you for receiving the newsletter will be stored until you cancel your subscription.

Sending advertising e-mails to prospective customers (prospects)

If your e-mail provider supports Transport Layer Security (TLS), e-mail communication is encrypted. Danielle Software generally sends advertising e-mails via mail servers from the Grand Duchy of Luxembourg, Germany or Austria.

Right to information

You have the right to information about the data stored in relation to your person, its recipients and the purpose of data processing. Furthermore, we remain at your disposal for questions regarding the collection, processing and use of your personal data.
